Importing Leads

Bulk import leads from a CSV or Excel file, with field mapping and duplicates skipped.

If you have existing leads in a spreadsheet, you can import them into Market Trak in bulk. The import accepts CSV and Excel (.xlsx or .xls) files.

How to import

  1. Go to Leads in the sidebar

  2. Click Import, which opens the import page

  3. Select your CSV or Excel file

  4. Map your file's columns to Market Trak fields

  5. Review the import preview

  6. Tick the consent box (see below)

  7. Click Import, which shows how many leads it will add, for example Import 120 Leads

CSV format

Your CSV file should include at minimum:

  • Email address (required, used to spot duplicates)

  • Name (recommended)

  • Location (optional, but include a postcode: see Locations and areas)

  • Phone (optional)

The first row should be column headers. Example:

Name,Email,Location,Phone
Sarah Johnson,sarah@example.com,M21 8AB,07700900000
James Wilson,james@example.com,Didsbury M21,07700900001

Field mapping

After uploading, you will see a mapping screen where you match your CSV columns to Market Trak fields. Each column can be set to Email, Full name, First name, Last name, Phone, Location (postcode) or Ignore.

If your column headers use the usual names (such as "Email", "Name", "Surname", "Mobile" or "Postcode"), mapping happens automatically. Otherwise, use the drop-downs to assign each column. At least one column must be mapped to Email before you can import.

Each field takes one column. If you choose a field that another column already has, it moves to the column you just changed, and the other goes back to Ignore.

Location (postcode) only takes a column with postcodes in it: a postcode column, or an address that includes the postcode. A column without them, such as a town name, can't be the location, and the mapping screen tells you so. If none of your columns has postcodes, the screen says the leads won't be in any of your areas; you can still import them and give them an area afterwards (see Locations and areas).

Duplicates

Market Trak checks every row's email address. A row is skipped if its email is already a lead in your workspace, or appears earlier in the same file. The mapping screen and the preview both say how many duplicates will be skipped. Existing leads are never changed or duplicated.

Disposable email filtering

Rows whose email address is on a disposable / temporary mail service (Mailinator, Yopmail, 10minutemail, Guerrilla Mail, and around 121,000 other throwaway providers) are skipped automatically and counted in the rows skipped when the import finishes. The rest of your file imports normally. This keeps your lead list clean without forcing you to scrub the spreadsheet beforehand.

Before you can import, you must tick the box confirming that everyone in the file has agreed to hear from you, that you have contacted them within the past year, and that the list is not from a third party. The Import button stays off until it is ticked.

No welcome email

Imported leads are not sent a welcome email. They go straight into your leads, ready for you to email when you choose.

Contact limits

The import respects your plan's contact limit. If importing would take you over it, nothing is imported: pressing Import shows a message with how many leads you are importing, your limit and how many contacts you have now, and the Import button is turned off. To go ahead, choose a smaller file, or upgrade your plan to increase your limit.

Locations and areas

A lead's areas come from the postcode in their location. A location with a postcode or a postcode district, such as "M21 8AB" or "Didsbury M21", gives the lead that area.

A lead with no postcode has no area, and won't get emails you send to your areas until it has one. To give many leads an area at once, go to the Leads page, choose No area in the Area filter, tick the leads (or Select all), then use Area > Add an area in the bulk actions bar (see Managing Leads). For one lead, add it on the lead's record, under Areas of interest.

After importing

Imported leads appear in your lead dashboard immediately. You can:

  • Filter by source to see just your imported leads

  • Email them from the Emails page

  • View their details and engagement

Tips

  • Clean your CSV before importing, remove blank rows, fix formatting issues, and validate email addresses

  • Include a postcode in each location (e.g. "Didsbury M21" rather than just "Didsbury"), so every lead gets its area

  • Start with a small test import to verify your field mapping before uploading a large file
